    Wow Your Guests: Choosing the Best Event Venue

    Looking for a venue to hold your next social event or corporate meeting? Want to find something that will dazzle and delight your guests?

    If you open your search beyond the obvious choices of hotels, restaurants and convention centers, you may find unusual venues that will define your event and make it more likely for people to want to attend it.

    As you think through your choices, look at the venue through the eyes of your guests. Ask yourself how you can give them a memorable and valuable experience. M3 Studios can offer just about any of the standard features other venues provide, along with a few unique extras.

    When searching for a venue, the following 11 questions can help you make the right choice.

    How Easy Is It to Get to the Venue?

    Having an easy to find venue location is paramount to a successful event. You don’t want your guests to arrive tired or stressed because they had a hard time finding your venue.

    An event venue that’s located near major highways, for example, is easier to find than one in the heart of a city. If you’re expecting many out of town guests, proximity to the airport is another factor to keep in mind.

    Our event space fits these criteria for easy and convenient access. It’s just minutes away from Miami International Airport and even closer to Florida State Road 112, which provides speedy access to I-95.

    Is There Plenty of Parking?

    In order to make sure your guests have a pleasantly memorable experience, make sure there is ample parking at your venue. If there isn’t enough parking on site, you’ll need to consider alternatives. Perhaps you can reserve some spots at a nearby lot or provide valet parking. Or you could get creative with Uber or Lyft discounts.

    M3 Studios has four well-lighted gated parking lots. Your guests will have no problem finding a place to park.

    In addition, the gated lots eliminate the problem of party crashers and make it simple for you to make sure that only invited guests or attendees gain access to your event. Our security system operates throughout the entire facility, so we’ve got you covered there as well.

     

    Is the Venue Wheelchair Accessible?

    The last thing you want to happen is to have a guest arrive and not be able to attend your event because there is no wheelchair access. Make sure the event space is fully accessible so that all your guests can be accommodated.

     

    Will There Be Other Events at the Venue at the Same Time?

    If you’re planning a loud wedding reception, then it probably wouldn’t bother you if a corporate meeting was being held at the venue at the same time. Attendees of a business meeting, however, might not feel the same way about a loud party. If you’re looking at a large venue that can handle more than one event at a time, make sure you know what other events are scheduled at the same time as yours.

    At M3 Studios, our sound stages are fully soundproofed to meet production standards. Which means an event in one won’t be heard at another. Each soundstage also has its own reception area, kitchen, and restrooms, so you won’t have to worry about guests from other events crashing yours.

    What Is the Capacity of the Venue?

    Another key concern is capacity. You want people to fit comfortably in the space, not feeling like they’re on a crowded subway. And you definitely don’t want to violate any fire or safety codes. If a venue tells you they have the capacity for 250 people, then don’t even think about trying to squeeze in 300. Keep in mind that safe does not necessarily mean comfortable.

    How much space do you need to make sure your guests are comfortable? Industry standards vary from 8 square feet per person in a standing room only situation, to 13 square feet for table seating, and 22 square feet for a classroom set up. These guidelines don’t factor in buffet tables, exhibit space, a speaker’s area or other features you may need to include.

    Also, square footage doesn’t tell you the whole story. Columns and other elements can dramatically influence how you can use that space.

    Our soundstages range in size from 3000 to 9102 square feet, so they can handle events of many sizes. And did we mention that many of our sound stages have giant elephant loading doors? If you got large equipment to bring in, we can handle that with ease.

    Will the Layout of the Space Supply My Event?

    Think through the flow of traffic at your event. Will you have a registration table? Or a table with seating assignments? A bar?

    Consider the activities that will take place at your event. For example, if you have a speaker, will she need a stage? Or perhaps you’ll need a demo area. Whatever you’re planning, it’s a good idea to visualize how people will move through the venue. You’ll want to make sure there is plenty of room in the high-traffic areas.

    How Much Will It Cost?

    When considering the cost of a venue, first and foremost, stick with your budget. If you have a little flexibility with dates, you might be able to swing a deal. Having 2 or 3 alternatives can help.

    Know what extras and amenities are most important to you. Being willing to skimp on some of the other extras can help you stick with your budget. Make sure you understand everything that’s included in the price and what might be charged separately.

     

    What Food and Beverage Services Does the Venue Offer?

    Understand what services the venue offers and expects. Some have no or limited food service available, which means you’ll need to use outside catering. Keep in mind that if you go with a venue that offers everything as a package deal, you’ll probably end up paying more than if you used other caterers or contractors. The trade-off, of course, is the time you’ll save only having to deal with one vendor. It’s a time and budget decision you’ll have to make.

    Other venues provide full-service food and beverage services and forbid outside caterers. If that’s the case, know what food and beverage minimum per person you’ll have to meet. If you can use outside vendors, do they need to provide their own table, chairs, and linens? Some venues, for example, have table linens in neutral colors such as white or cream. If you want other colors, you’ll have to provide your own.

    Also, understand what set up or clean up services the venue provides. You’ll need to factor all these costs into your event budget.

    Our soundstages have kitchen and catering areas of varying sizes, so you should be able to find something to comfortably accommodate your vendors and your event.

    What Sound System is Available?

    Most events require some kind of sound system, whether it’s to make sure all guests can easily hear a speaker or feel the beat of the dance music. But nothing ruins an event like bad sound.

    Most venues have sound systems and Wi-Fi available. When you visit the venue, ask for a demo of the sound system, so you can get a sense of the quality of the sound. Since M3 Studios is a full recording studio, you can be assured we have top of the line sound systems that can accommodate just about any event.

     

    Is Customer Service Available?

    Not only will you need the venue staff to respond to your questions and needs before the event, you’ll want staff on hand during the event. It’s inevitable that a problem will arise, and you’ll need some help resolving it.

    M3 Studios has an established reputation for excellent customer service with our film and production clients. We offer that same level of service to our event venue clients as well.

     

    What Is the Atmosphere and Ambiance of the Venue?

    The ambiance of the venue sets the mood, so it’s important that it matches the tone and theme of your event. You’ll want the space to project one mood for a wedding reception and another for a corporate board meeting.

    If the building’s architecture and décor match the tone you want to set, great. You’ll have less adjusting and or decorating to do. If it doesn’t, you can still achieve the desired ambiance with proper lighting and decorations.

    One tip from experts: visit the venue as close to the time of day you are planning your event. That way you’ll have a good sense of how the natural lighting looks and how the event space feels.

    A visit close to sunset will help you see how the venue looks for both the day and night. Then you’ll have a better understanding of how your guests will experience the space.

    Consider the acoustics as well. Venues with low ceilings will feel cozy. But they can get loud. A warehouse style venue gives an open feel but can get echoes. If you’re planning a networking meeting, you won’t need to worry as much about the acoustics as if you’re planning a speaker in a classroom type setting.
